Reports – Exception (FREPs) Another checkbox was added for “Past Measure Without Benefits Entered.” The default is to have all checkboxes checked. System Procedures by User Roles 5. All Users – Viewing Projects List Role Steps All 1. Log on to FRS at Projects List will be displayed in most cases. (Note: Individuals who have multiple roles or are responsible for multiple business units, will be asked to select the appropriate role and/or business unit bination first). 2. The initial list of projects defaults to those projects requiring validation in the current month and where the person accessing the system has a specific role. If multiple pages of projects exist, move to a different page by clicking on one of the page numbers that are displayed at the top of the page or use the FIND or FIND NEXT navigators. 3. Click on the My FRS Projects box and then click OK to expand the list of projects to all projects for the role and Business Unit for which the person is logged in. (Note: Black Belts and Project Sponsors will see ALL projects regardless of business unit.) 4. Click on All projects in the business unit and then click OK to expand the list to all projects in the business unit. Unchecking both boxes will reverse the view to projects requiring validation. 5. Projects are initially sorted alphabetically by project title. Click on any of the first eight column headings (those which are in blue and underlined) to resort the project list by that attribute. Click again on the same attribute to resort on that attribute in reverse order. 6. The “Updated Indicator” signs (in the “Upd. Ind column) if the project status has been updated. The red X will change to a green check mark when the current month’s Realized benefits have been updated by the FREP and saved by clicking the Complete button. 7. Online, realtime project reports can be launched from the Projects List. The project data report ( ) displays all of the nonfinancial project data in FRS. 8. The financial data report ( ) displays most of the financial project data in FRS. These reports are updated instantaneously when project data is entered into FRS. The report indicators will be displayed on all projects where the person is authorized to see the project and financial detail. 9. All Users – Viewing Status Indicators Role Steps All 1. There is a Project Status controlled by eTracker and a Financial Status controlled by FRS. Both statuses are displayed on the Project Navigation screen in FRS (see below) as well as on the charter in eTracker. (The Project Navigation window will open if you click on any project on the Projects List window, which usually opens automatically after launching FRS.) 2. Project Status provides a quick understanding of the state of the project and helps plan associated activities. The following tables list all of the statuses and describe the associated state of the project.  All individuals involved in a project should have a clear understanding of their meaning. “Transitioned Certified” is a particularly important project milestone that validates that the project has followed the Closeout procedure in eTracker and has achieved two months of financial control. Rewards payment requires that the project is in the Transitioned Certified Status AND has achieved 6 months of financial control. There are three parts to the Status: project status, financial status and gate status. Project Status Definition Pending Launch A project that has been approved, but is waiting for resources. Active A project that has been started. Transitioned A project passes from Active to Transitioned when the project closeout has been pleted by the black belt and approved by the project sponsor in eTracker. Complete A project passes from Transitioned status to Complete status when Financial Status changes from Rewarded to Complete (. the 12month Financial Control period is over.) On Hold A project may reach On Hold status if it was Active at one time, but was temporarily stopped before any financial benefits occurred. Cancelled A project may reach a Cancelled status if it was Pending Launch or Active at one time, but was Cancelled before any actual financial benefits occurred. 6 Sigma Financial Reporting System – Release June 20xx Caterpillar Confidential: Green 10 Financial Status Definition Revised A project that contains at least one month of revised benefits data as entered by the black belt in FRS. Controlled A project passes from Revised to Controlled status when the current month is greater than or equal to financial Control date as entered by the financial rep in FRS. Certified A project passes from Controlled to Certified status when the 2nd month annualized benefits are entered by the financial rep in FRS and the Project Status is Trans itioned (. closeout is pleted by the black belt and approved by the project sponsor in eTracker). Rewarded A project passes from Certified to Rewarded Status when the 6th month annualized benefits are entered by the financial。
